About The Role

We’re looking for our first People & Office Coordinator to help us continue to offer a fantastic experience for our people!

In this role, you'll have the opportunity to get stuck into numerous areas of the employee lifecycle, from onboarding to L&D and performance management. Your aim will be to provide the necessary administrative and logistical support to ensure our people policies and initiatives run smoothly.

We're taking an office-centric approach to work at Urban Jungle, so it's important that we create the best possible working environment for our people. We'll look to you to ensure our workplace is somewhere the team feels comfortable and productive!
Doing this role in a growing business means you'll have plenty of opportunity to learn about the inner workings of a People & Talent function.

In this role, you’ll report to our People Manager, Alex Anderson.

Here’s what you’ll get up to:

  • You’ll act as the first point of contact for team members for people and office-related queries across the employee lifecycle, escalating where necessary.
  • Manage day-to-day office operations to ensure we create a fantastic place to work, including collecting deliveries, ordering furniture, office/kitchen supplies and IT equipment, seating plans, and space planning.
  • Support hiring managers with our pre-boarding and onboarding process to ensure new starters have a fantastic experience.
  • Ensure our onboarding material and relevant company web pages are kept accurate and up-to-date.
  • Support hiring managers with offboarding when required.
  • Alongside our social committee, plan and manage the logistics of an exciting calendar of annual events and activities for the team.
  • Facilitate the rollout of our L&D strategy by scheduling training initiatives, gathering feedback, suggesting areas for improvement, and keeping material up-to-date.
  • When it comes to appraisal periods, you’ll support the facilitation of our review calibration sessions.
  • Support with Employer Branding initiatives, including content creation for LinkedIn and researching relevant awards, events, conferences, and meetups.
  • When needed, support our People Manager with posting job ads, interview scheduling, and candidate management across Talent Acquisition.
  • Support with the implementation of new tooling to support our growth.

You've read this far! Here's what we need from you:

  • No experience is necessary, so long as you can demonstrate a genuine interest in People Operations / Office Management.
  • Highly organised with the ability to manage multiple moving parts of various processes and initiatives.
  • Strong written and verbal communication skills to communicate relevant updates and information to the team, craft copy for Employer Branding initiatives, and liaise with external parties where necessary.
  • A natural problem-solver with a test and learn mentality.
  • You sweat the small stuff and understand that the details matter.
  • You aim for extraordinary in everything you do - whether that be in planning activities for the team, or onboarding a new starter.
  • Ultimately, you’ll be a self-starter with the desire to build fantastic experiences for our people!
